Fields on Altify Advanced Search CRUD Dialogs

Altify Account Manager allows you to customize the range of fields that can be searched by users when they use the Advanced Search feature in an Account Manager plan or account plan. The advanced search option is available to users in the following places:

  • In the setup or Settings of an Account Manager plan, advanced search is available when adding account rows to the plan's Account Structure.

  • In the setup or Settings of an Account Manager plan, advanced search is available when adding division rows to the plan's Account Structure. This search is the same as above in that users perform an advanced search of accounts. They can subsequently add the divisions of accounts in their search results to their account plans.

  • In the setup or Settings of an Account Manager plan, advanced search is available when grouping rows on a single account row.

  • When creating or editing an Objective or Action in an account plan or Account Manager plan.

  • On an opportunity map and the Potentials page, advanced search is available for adding current or won opportunities, bulk importing opportunities and the mapping of qualified potential opportunities to current opportunities.

Salesforce account and opportunity list views configure the following for the above advanced searches:

  • The search fields that are available.
  • The columns displayed in the search results.

The following list views are shipped with Altify and provide default configurations for all advanced searches:

  • 'Altify Accounts CRUD Search' - configures advanced searching for accounts. The fields selected for the advanced search results are also displayed for accounts and divisions on the Account Structure page (as shown in the example below). By default, the parent account is also shown for divisions.

  • 'Altify Opportunities CRUD Search' - configures advanced searching for opportunities.

As an administrator, you have two options, you can modify the above default list views or you can create new list views and set them as the configuration for advanced searches.

Editing a List View

To edit a list view (in Lightning mode), do the following:

  1. Open the List View Controls menu for the relevant view in Accounts or Opportunities.

  2. Click Edit List Filters.

    The Filters section, displayed on the right of the screen, allows you to specify the search fields that will be available to the user.

    Click Add Filter to add a new search field or remove a search field by clicking the X for the relevant field.

    Note: The system supports up to 10 fields as advanced search fields and only the most commonly used search field types are supported.

    If you are adding a filter, you must do the following: select 'equals' as the Operator, and leave the Value field blank - as shown in the example below.

    You must also update the Filter Logic to include the newly added search field.

    Note: The filter logic in the list view does not affect searching in an Altify dialog. It is only used to control which fields are available as search criteria.

  3. Click Save when you've finished adding and removing the search fields.
  4. Open the List View Controls menu again and click Select Fields to Display. This option allows you to specify the columns that will be shown in the advanced search results - as shown in the example below.

  5. Add the columns you want included in search results to the Visible Fields panel.

    You can adjust the order of a column by clicking the up and down arrows.

  6. Click Save.

Creating the List View

To create a new list view and set it as the list view that configures an advanced search, do the following:

  1. On the Opportunities or Accounts tab (depending on the advanced search that you are configuring), open the List View Controls menu and select New.
  2. Enter a List Name for the new list. A List API Name is automatically generated when you tab out of the List Name field. Make a note of this API value.
  3. Set visibility of the list view to All users can see this list view.
  4. Click Save. Your new list view is created.
  5. Specify the search fields and result columns as described in Editing a List View.

    Next, you need to set your list view as the configuration of the relevant advanced search.

  6. In Setup, go to Custom Settings.
  7. Click Manage beside Altify Account Manager Settings.
  8. Click Edit.
  9. Enter the API value that you noted in step 2 in the relevant Custom Setting:

    • Account CRUD Search View: configures advanced searching for Account records.

    • Opportunity CRUD Search View: configures advanced searching for Opportunity records.

  10. Click Save.
